# Members and Invitations

> Invite teachers and staff to your institution, manage pending invitations, change a staff member's role, and remove access.

The **Members** page lists the staff who can use this dashboard and, for Institution Admins, is where you bring new people into the institution. Leaders can open the page but see it read-only.

## Inviting someone

<Steps>
  <Step title="Enter their email">
    Use their school email address. If they already have a ChimeEdu account under that address, the invitation attaches to it; if not, they create an account as part of accepting.
  </Step>

  <Step title="Choose Teacher or Staff">
    **Teacher** links their account to one of your campuses so they appear on your roster. **Staff** gives them a seat on this dashboard, with the role you pick — Admin, Leader, or IT.
  </Step>

  <Step title="Pick a campus (teachers only)">
    If your institution has more than one campus you must choose which one the teacher belongs to. With a single campus it's filled in for you.
  </Step>

  <Step title="Send">
    The invitation email names your institution, the role, and (for teachers) the campus, and explains what accepting does to their account. Links are valid for **7 days**.
  </Step>
</Steps>

<Note>
  **Students are not invited here.** Teachers invite students from inside a classroom, and students join your institution automatically through those enrollments.
</Note>

## Open invitations

Invitations that haven't been used appear under **Open invitations** with their status:

| Status | Meaning | What you can do |
| ----------- | ----------------------------------- | -------------------------------------------------------------------------------------------- |
| **Pending** | Sent, not yet accepted, still valid | **Resend** (emails a fresh link), **Copy link** (paste it into a chat or ticket), **Revoke** |
| **Expired** | The 7-day link ran out              | **Resend** — this issues a new 7-day link — or **Revoke**                                    |

Resending always rotates the link, so the newest email is the one that works. While an invitation is still pending you can't send a second one to the same address — resend or revoke it instead.

**Invitation history** (collapsed at the bottom) shows invitations that were accepted or revoked, when, and by whom.

## Changing a member's role

Admins can change another member's role from the dropdown on their row — for example promoting a Leader to Admin when responsibilities change. The new role applies on their next page load.

Two guardrails:

* You can't change your **own** role. Ask another Institution Admin to do it.
* You can't demote or remove the **last** Institution Admin. Add another admin first.

## Removing a member

**Remove** takes away dashboard access. It never deletes the person's ChimeEdu account, and if they're also a teacher at one of your campuses their classrooms and activities are untouched. A removed member can be given access again later by inviting them as staff.

<Tip>
  A person can be both a teacher and a staff member. Their teaching account shows on the Teachers page with an **Also staff** badge and is managed here, not there — that stops one admin from editing a fellow admin's email through the teacher roster.
</Tip>

## Exporting the list

**Export CSV** downloads the current staff list — name, email, role, and join date — for your records or an audit.
