Typing thirty email addresses into an invitation form is the slow way. Import roster takes a class list straight from your student information system or a spreadsheet, shows you exactly what will happen to each row, and then invites everyone in one go. For students who don’t have an email address, it can create a ChimeEdu account with a username and passcode you hand out on a card.
Import roster lives on the classroom’s Students tab, next to the Invite Students form. If you don’t see the Create accounts for students without an email address option described below, it hasn’t been switched on yet — the import itself still works for students with email.

Prepare your list

One student per row, in any of these shapes: A header row (first_name,last_name,email) is recognised and lets the columns come in any order; extra columns like Grade are ignored. Commas, tabs and semicolons all work, so a Save as CSV from Google Sheets, Excel or Numbers is enough. Up to 100 students per import — split a bigger list. An optional parent_email column (also read as Parent or Guardian) is kept on any accounts you create, for your records. It’s never used to email anyone.
Download a sample .csv inside the importer gives you a file with the right headers to fill in.

Run the import

Open the classroom and choose Import roster

On the Students tab, click Import roster beside the Invite Students heading.

Upload the file, or paste the rows

Choose Upload file for a .csv, .tsv or .txt, or Paste and paste straight from a spreadsheet, then Preview.

Check the preview

Every row gets a status before anything happens:
  • Invite — a valid school email with no ChimeEdu account yet. The student is invited and you get a registration link to share.
  • Has account — the email already belongs to a ChimeEdu account. The student is invited to join your classroom; nobody is ever enrolled without accepting.
  • Skip — already enrolled here, or an invitation is already open.
  • Fix — something to correct: a personal email provider (Gmail, Yahoo, Outlook and the like are not accepted, the same rule as registration), a malformed address, a duplicate row, or a missing email.
  • Create — no email, and you ticked Create accounts for students without an email address (below).
Rows marked Fix are simply left out; correct the list and preview again, or go ahead without them.

Add a note and confirm consent

The optional note goes into the invitation email. The consent statement is required: you confirm that you hold parent or guardian consent to enroll these students, including anyone under 13, and that your school keeps those records. ChimeEdu stores which wording you accepted and when.

Invite

Invitations are emailed immediately. The results screen lists everyone invited, with a Copy link per student and Copy all links — useful when a school mail filter holds the email, because the link signs the student up directly with your class code attached.

Create accounts for students without an email

Many elementary classes have no student email at all. Tick Create accounts for students without an email address in the preview and every row with a name but no email becomes Create. When you confirm, each of those students gets:
  • a username made from their name, like jdoe27 — always unique, so two J. Smiths get different numbers
  • a passcode made of a word and four digits, like tiger-4827 — easy to read from a card and to type
The consent statement grows to cover creating accounts on the students’ behalf. These accounts are treated as under-13 by default: no marketing, no analytics, never added to any mailing list.
Passcodes are shown once. ChimeEdu stores only a scrambled version, exactly like a password, so they can’t be looked up later. Before you close the results screen, use Copy all, Download logins (.csv) or Print login cards (PDF). If one is lost, you can reset it from the roster at any time.
Print login cards (PDF) gives you eight cards to a page with the class name, the student’s name, their username and passcode, and the sign-in address — cut them up and hand them out. Students sign in at app.chimeedu.com/login by typing the username in the Email or username box and the passcode as the password. Point them to Sign In with a Username and Passcode.

Managing the accounts you created

On the roster, these students show their username in the Sign-in column with a managed chip, plus the parent or guardian email if you supplied one. Each row has two extra actions:
  • Reset passcode — a new passcode appears once in the roster; the old one stops working straight away and the student is signed out everywhere.
  • Delete account — removes the account and its work entirely. It’s refused if the student is also enrolled in another classroom; use Remove to take them out of this class only.
Login cards above the roster prints cards for every account you created in this class. Passcodes are only printed for students you reset during the current visit; everyone else’s card has a line to write on, since ChimeEdu never keeps the passcode itself.

What these accounts can and can’t do

  • They work everywhere a student account works — classrooms, activities, assessments, study guides, graded work.
  • They receive no email: no invitations, no results emails, no password-reset links. Results you release show up inside ChimeEdu instead.
  • A student can add an email later from Account Settings (school addresses only). The username keeps working, they can then also sign in with the email, and you can still reset their passcode.
  • Search shows them as Managed account · username.

Frequently asked

No — it invites them. An existing account belongs to its holder, so they accept the invitation (or enter your class code) to join. That’s true whether the row says Has account or you ticked Create accounts; accounts are only created for rows with no email at all.
Student accounts on ChimeEdu use school-issued email so that consent and access stay with the school. For students who genuinely have no school email, create an account instead — no email is needed at all.
Yes. Students who are already enrolled or already invited come back as Skip, so nothing is duplicated. There’s a limit of 10 imports per hour per teacher.
Usernames are yours to edit for accounts you created — letters and digits, starting with a letter — provided nobody else has it. Sign-in is case-insensitive.
